1What ReferralFinderX is
ReferralFinderX is a directory of medical offices and clinics for the referral teams at participating clinics. You can search by specialty, insurance, age, town and more; see offices grouped by the health system or practice they belong to; suggest a change on any detail; review updates; raise tickets; and see your clinic's dashboards.
It is not a medical record and it does not send referrals. It holds no patient records, appointments or referral records.
Screens and clips on our website show a demo clinic with sample data; names, numbers and details in them are not real.
2The Alpha
ReferralFinderX is in a time-boxed Alpha for invited organizations in Rhode Island and neighboring states. It may have bugs and unfinished features, and some directory details are still being checked. It is provided as is, for evaluation and day-to-day use by those organizations, without any promise that it will always be available or free of errors.
We may change, pause or end features, or the Alpha itself, at any time. We aim to tell participating organizations before a change that affects how they work.
3Accounts and access levels
Nobody can sign themselves up. A Master at your clinic creates each account and gives it one of four access levels:
- LiteSearch the directory, save searches, export and copy office details, and raise tickets.
- BasicAlso keep personal notes, mark offices verified, suggest changes and add offices.
- AdvancedAlso review and approve suggested changes in Updates and data, and look after the directory's lists.
- MasterAlso manage accounts, access levels, teams and settings, and see the Master dashboard and the activity log.
A Master can change a level, disable an account, or end every session on it at any time. Your clinic decides who has access and is responsible for removing access when someone leaves.
4Signing in
- Keep your username, password and authenticator app to yourself. One account is for one person; don't share it.
- Replace the temporary password or setup link you were given the first time you sign in.
- Set up two-step sign-in (a six-digit code from an authenticator app) when the app asks you to.
- Sign out on shared computers.
If you think someone else has used your account, tell a Master at your clinic straight away. They can end every session on the account and reset its password or two-step sign-in.
5No patient information
Never enter patient information anywhere in ReferralFinderX: not in notes, suggested changes, tickets, messages, or the Alpha application form. That includes patient names, dates of birth, medical record numbers, insurance member or subscriber IDs, Social Security numbers, and anything else that could identify a patient.
The app checks text when you save it and refuses anything that looks like patient information, and a daily check clears anything that got through. These checks are a safety net, not a guarantee: keeping patient information out is your responsibility and your clinic's.
6Using the app well
Use ReferralFinderX for your clinic's referral work. Please don't:
- enter patient information, or share your sign-in details;
- try to reach another clinic's data, or get around your access level;
- copy the directory in bulk with automated tools, overload the service, or test its security without our written permission;
- enter anything unlawful, abusive or misleading.
Files you export, such as a search saved as a spreadsheet, leave the app's protections. Keep them as carefully as you would the app itself.
We may disable an account that breaks these terms. If we do, we will tell a Master at that clinic.
7Directory information
Directory details come from public sources and from changes suggested by staff at participating clinics. A suggested change reaches the directory only after an Advanced or Master reviewer approves it, and each change keeps its history.
Directory details help you choose. They are not a guarantee that an office is open, taking new patients, seeing a given age, or in-network at the moment of a referral. Confirm the details with the office before you send a referral.
8What you add
When you suggest a change, add an office, or send us feedback, you let ReferralFinderX use it to run, check and improve the directory. Your clinic's people, personal notes, tickets and activity are never copied to another clinic.
When someone else approves a change you suggested, it can count as credit toward a contributor badge shown beside your name at your clinic. A Master can switch badges off for the clinic or leave a person out.
9ReferralFinderX support access
To give support and fix problems, the ReferralFinderX owner account can open a clinic's data: to look only, or, for a set time, to reproduce a problem. Each visit needs a written reason and a fresh authenticator code, ends on its own, and is logged. Your clinic's Masters can see every visit on the Owner visits tab. The Privacy Policy explains exactly what each kind of visit can and cannot do.
10Ending access
Your organization can stop using ReferralFinderX at any time by telling us. We may suspend or end an organization's access, for example at the end of the Alpha. The Privacy Policy says what happens to the data.
11Changes to these terms
We may update these terms. When we do, we change the date at the top, and we note any important change on this page. Using ReferralFinderX after a change means you accept the updated terms. If your organization has a signed Alpha Participation Agreement, that agreement controls wherever the two disagree.
